AKT membership-based member register.
Personal data is processed for the management, administration, analysis and development of the membership, such as:
A prerequisite for establishing a membership relationship is that the member provides AKT with the necessary personal data, which AKT treats as confidential.
The processing of personal data related to the management of the membership relationship is based on membership in the union branch or the legitimate interest of AKT or its member. AKT’s legitimate interest is related to organizational operational interests, such as quality control of member services, development of services and measuring member satisfaction. The legitimate interest relates to risk assessment and management, the protection of AKT’s rights and assets, and the implementation of information security.
The purpose of processing personal data is to manage the membership, provide advice, member democracy activities, manage and develop the membership, and ensure the rights and obligations of the organization and the member.
When managing the membership fee ledger, we need the member’s personal data for invoicing and collecting membership fees and for related services.
We also process personal data in connection with member training, elected positions of union representatives, employment-related advisory services, and employment-related assistance.
Members’ personal data is processed for the management of members’ interests and member services. In the marketing of member services and events, the member’s personal data is needed for marketing of services and for maintaining basic information about corresponding services.
AKT uses member data to deliver the membership magazine and for other communication related to its activities.
When using electronic identification, the user must provide the identification service provider with the information it needs and act in accordance with the instructions given by the service provider. The service provider acts as the data controller with respect to the personal data.
The membership management system can store, among other things, the following information:
Information is collected from the registered person themselves, for example from the membership application form and in member service situations or in connection with text and email messages.
Personal data can be collected and updated based on notifications and events during the membership relationship.
Members can change their personal information through electronic services.
Log data is automatically saved when using information systems.
Information is generally not disclosed outside AKT. Information may be disclosed within the limits permitted and required by applicable legislation to parties who have the right to access the information under the legislation. Information is disclosed to the unemployment fund and employer in connection with a membership application for the purpose of collecting membership fees, if the member has given permission. In addition, information may be disclosed to AKT’s contractual and cooperation partners for the purpose of providing and delivering services and benefits related to membership. The union may disclose information from the membership register to SAK and its member unions for the development of inter-union organisational activities, as well as for SAK’s research activities.
The electronically processed registers are on the servers of AKT’s service providers. AKT and the service providers have concluded agreements and instructions on data processing as required by the regulation.
The data is not transferred outside the territory of the Member States of the European Union or the European Economic Area.
The electronically processed data contained in the register are protected by firewalls, passwords and other necessary technical means generally accepted in the field of information security.
Manually maintained materials are located in premises to which unauthorized access is prevented.
The data subject has the right to inspect personal data concerning him or her. The data subject may submit a request for inspection in person, in writing, to AKT.
The right of inspection will be exercised within approximately one month of the request being made. We will provide the data in one copy in person against proof of identity.
If the request is manifestly unfounded or unreasonable, in particular if it is made repeatedly, the controller may charge a reasonable fee for the execution of the request based on the administrative costs or refuse to execute the request.
The data subject has the right to correct and update personal data concerning him or her and to request restriction of processing of data as provided for in applicable data protection legislation. In addition, the data subject may request the deletion of his or her personal data. However, it should be noted that the deletion of personal data is limited by the fact that some of the personal data is necessary to exercise the rights and obligations related to membership, for example for communication, invoicing and fulfilling AKT’s obligations, and the data cannot be deleted in such cases.
The data subject also has the right to request the correction of incorrect information, in which case AKT will decide to correct the information. Detected incorrect information can be corrected when AKT has received the correct information from the data subject or from another reliable source. The member has the opportunity to correct basic information himself or herself via electronic services.
The data subject has the right to object to or restrict the processing of his or her personal data within the limits of data protection legislation. When objecting to the processing of personal data, the data subject must specify in writing the grounds on which he or she objects to the processing to the contact person of the data controller in this register description. AKT may refuse to implement your request for objection on the grounds provided for by law.
The data subject has the right to have the personal data concerning him or her, which he or she has provided to AKT and which are processed on the basis of consent or a contractual relationship, transferred directly to another data controller in a machine-readable format, if this is technically feasible and secure. The right to transfer personal data does not apply if the processing of the data is based on law.
The data subject has the right to withdraw consent to the processing of personal data at any time, to the extent that the processing of personal data is based on his or her consent. Withdrawal of consent does not affect the lawfulness of processing carried out on the basis of consent before its withdrawal.
The processing of member data does not involve automated decision-making.
AKT stores the personal data of the data subject only as long as the membership is valid or is otherwise necessary for the activities and interests of the member. The storage period is determined in particular by the purpose of use of the personal data and the provisions of the law, based on which AKT is obliged to store personal data for a certain period.
Members’ personal data are generally stored for 10 years after the end of membership, unless AKT has the right or obligation to store personal data for a longer period based on applicable legislation or a contractual relationship, for example to collect a claim.
Photographs may be stored for archiving and historical purposes for at least ten years from the time the photograph was taken.
The data subject has the right to lodge a complaint with the competent supervisory authority (Data Protection Officer, Ratapihantie 9, PO Box 800, 00521 Helsinki or tietosuoja@om.fi) if AKT, as the controller, has not complied with the applicable data protection regulations in its operations.
In all questions related to the processing of personal data and situations related to exercising your rights, you can contact the data protection officer in writing, either by email or post. See contact information at the beginning of the register description under “1. Data controller”.
